Privacy Policy
Last updated: May 1, 2026
1. Introduction
PhotoDoc (“we”, “our”, “us”) is committed to protecting your personal data. This Privacy Policy explains what data we collect, how we use it, how long we retain it, and your rights regarding your personal information.
2. Data We Collect
When you use PhotoDoc, we collect the following data:
- Photos you upload — the source image you provide to generate your document photo.
- Generated photos — the AI-processed result produced from your uploaded photo.
- Order and payment data — transaction details necessary to process your payment (handled by our payment processor; we do not store full card details).
- Usage data — anonymized analytics data such as pages visited and actions taken, collected via cookies and analytics tools (e.g., Google Analytics).
3. Photo Storage and Retention
Your uploaded and generated photos are stored on our secure servers for 7 days from the date of upload. After this period, photos are automatically and permanently deleted from our systems. We do not keep any copies after deletion.
This retention window allows you to re-download your result within 7 days if needed and enables us to handle refund or support requests related to your order.
4. How We Use Your Photos
Your photos are used solely for the following purpose:
- Processing your uploaded photo through AI image generation systems to produce a compliant document photo.
We do not use your photos for training AI models, marketing, advertising, or any other purpose beyond photo generation.
5. Third-Party Sharing
We do not sell, share, rent, or otherwise disclose your photos to any third parties, with the following sole exception:
- AI photo generation services — your photo is transmitted to third-party AI systems used exclusively for generating your document photo. These services are contractually bound to process your photo only for this purpose and are prohibited from using it for any other reason.
No other third parties receive access to your photos under any circumstances.
6. Cookies
Our website uses cookies to improve your browsing experience and gather anonymous usage statistics. Cookies we use include:
- Essential cookies — required for the website to function properly (e.g., session management).
- Analytics cookies — used via Google Analytics to understand how visitors interact with our site. Data collected is anonymized and aggregated.
You can dismiss the cookie notice on our site by clicking OK. You may also configure your browser to block or delete cookies at any time; however, some features of the site may not function correctly as a result.
7. Data Security
We apply industry-standard security measures to protect your data, including encrypted data transmission (HTTPS) and access controls. Despite these measures, no system is completely secure, and we cannot guarantee absolute security of your data.
8. Your Rights
Depending on your jurisdiction, you may have the right to:
- Access the personal data we hold about you.
- Request deletion of your data before the automatic 7-day period.
- Object to or restrict certain processing of your data.
