Refund Policy
Last updated: May 1, 2026
1. Disclaimer of Liability for Results
PhotoDoc provides AI-assisted photo processing to help you create document photos that comply with government standards. However, we do not guarantee acceptance of your photo by any government agency, embassy, consulate, or other official authority.
The quality and compliance of the final result depends significantly on the quality of the original photo you upload. Factors such as lighting conditions, image resolution, face angle, expression, and background in the source photo directly affect the output. PhotoDoc is not responsible for rejection caused by the characteristics of the original photo submitted by the user.
By using our service, you acknowledge and accept that the result depends on the source photo provided and that PhotoDoc bears no liability for any inconvenience, costs, or losses arising from photo rejection.
2. Eligibility for a Refund
Refunds are available only in the following circumstance:
- You receive an official written rejection from a government authority (e.g., passport office, consulate, visa center, DMV) explicitly stating that the photo produced by PhotoDoc does not meet the required photo standards.
To request a refund under this condition you must:
- Contact our support team within 30 days of the official rejection date.
- Provide a copy or photograph of the official rejection document issued by the government authority, clearly showing the reason for rejection related to photo non-compliance.
- Provide your order details (order ID or email used for payment).
We reserve the right to verify the submitted documents. Approved refunds will be processed within 5–10 business days to the original payment method.
3. Non-Refundable Cases
Refunds will not be issued in the following situations:
- You are dissatisfied with the result but the photo meets the required technical standards.
- Rejection occurred due to the poor quality of the original photo provided by you.
- The photo was rejected for reasons unrelated to photo compliance (e.g., incomplete application, wrong document type, expired document).
- No official rejection document is provided.
- The refund request is submitted more than 30 days after the rejection date.
